Ordering documents remotely — how it works

Can you order documents from Georgia without traveling to the country? Yes, you can. We request documents from justice authorities and archives in Georgia, affix an apostille, carry out consular legalization and recognition of foreign education, provide translations, and deliver the result by courier — you don’t need to go anywhere. Below is the entire process step by step and the payment procedure, with no hidden conditions.

How the process works

  1. You contact us with a request: what document is needed, date and city of receipt (issuance), date and city of the event. For example: a duplicate was issued in Tbilisi, but the birth itself was in another city — this is important.
  2. You specify exactly what is needed: request a document, apostille, consular legalization, recognition of foreign education (recognition) of a diploma or school leaving certificate.
  3. You specify for which country the document is needed and for what exact purpose — often this is a decisive factor determining the processing route.
  4. We clarify whether a translation is needed and an apostille on it (or legalization of the translation, or translation through the consulate).
  5. To calculate delivery, you provide the exact address for delivery. The courier delivery cost is calculated automatically.
  6. You agree to the order total. Payment is made after our representative receives your power of attorney.
  7. Our representative contacts you and clarifies the details — or you contact them yourself, if that is more convenient.
  8. You send us your documents.
  9. After receiving your documents in hand (most often this is a power of attorney and a copy of your passport), we confirm their receipt from the courier.
  10. You pay 70% of the order.
  11. We fulfill the order and send you a scan of the completed document. You pay the remaining amount — 30%, the cost of translating your power of attorney (if it was translated) and return courier delivery.
  12. We send you the documents via courier service.

How payment works

  • Do not pay anything in advance “into thin air”. Payment only begins after your power of attorney is physically received by our representative.
  • 70% — after confirming receipt of your documents (power of attorney, copy of passport).
  • 30% + translation of the power of attorney (if required) + return delivery — after you have received the scan of the completed document.
  • In Georgia (as in Moldova and Armenia), a scan of a document with a QR code is itself a ready electronic document: its authenticity is verified online. Therefore, until full payment, we send a scan without a QR code. We ask for your understanding.

What we will need from you

  • Power of attorney for our representative (drawn up by a notary at your place of residence; if necessary, we send the ready text). For more details, see what is a power of attorney.
  • Copy of passport (page with personal data).
  • Copies of any available documents and accurate details: full name as in the document (and in Georgian spelling if known), dates and cities of the event and issuance.
  • Delivery address and the country for which the document is being prepared.

Frequently asked questions about ordering

Do I need to come to Georgia?

No. The entire process proceeds via a power of attorney: the representative submits requests and receives documents on your behalf, and the result arrives by courier to your address in any country.

Why is the payment split into 70% and 30%?

Thus the risk is shared between the parties: we start work and bear the expenses (fees, trips to archives and justice authorities, translations) only after a confirmed order, and you pay the remaining amount after seeing a scan of the finished document.

How long will it take?

It depends on the document and the authority: from a few days (apostille on an existing document) to several weeks (retrieval from archive or restoration of a diploma). We provide exact timeframes after clarifying the order details.

What if the document is not found in the archive?

If the archive or justice authority issues an official refusal (record not preserved), we pass this response on to you — it also has legal force and is often needed for court, consulate, or restoration of a document through judicial procedure.

What these services mean

To make it easier for you to fill out the application, we briefly explain the terms — which procedure is needed for what.

  • Apostille — simplified legalization for countries of the 1961 Hague Convention: one stamp on the document, and it is valid in all member countries. No additional certification at a consulate is required.
  • Consular legalization — a procedure for countries that do not accept apostilles (UAE, Qatar, Kuwait, Egypt, China, and a number of others). The document goes through a chain: notary → Ministry of Justice → Ministry of Foreign Affairs of the issuing country → consulate of the destination country. It is longer and more expensive than an apostille, but without it, the document will not be accepted there.
  • Nostrification (recognition) — official recognition of a diploma, certificate, or other education document in another country: confirmation that your qualification corresponds to the local one.
  • Notarized translation — the translation is performed by a certified translator, and a notary certifies the authenticity of their signature. Such translations are accepted in CIS countries and in most European countries.
  • Translation by a sworn (court) translator — a translator sworn in in the destination country (Spain, Italy, France, Germany, Poland, Czech Republic, Romania, etc.). Their seal has official status, so separate legalization of the translation is usually not required.
  • Consular translation — the translation is performed or certified by the consulate of the destination country. It is needed where local notarized translations are not accepted: often this is Arab countries and China.
  • Apostille on translation — the apostille is affixed not only to the document itself but also to the notarized translation. Sometimes a “double apostille” is required: on the original and on the translation.
